How it works
From Thursday's rota to Sunday's check-in.
Plan
Heads fill the rota in a simple grid. You can see who's available, who's already serving in another department, and who hasn't served for a while.
Publish
Nothing goes out while you edit. When you tap Publish, each person gets one short text with a link to accept or decline.
Check in
On the day, volunteers tap “I'm here”. It still works on poor venue Wi‑Fi. Unit heads see who has arrived and who is missing, and can text anyone who's late.

Texts that don't run away with your budget
One text per person when you publish. Never a surprise bill.
Nothing is sent while you edit. Change the rota as often as you like. Each person gets one message when you publish.
Texts are included in every plan. No Twilio account to set up. You can top up 100 texts for £6.
If your texts run out, nobody misses a change. Texting pauses and volunteers get a free email and app alert instead.

Questions
What churches ask us
Do volunteers need to download an app?
No. They tap the link in their text and see their role. They can add it to their home screen if they want quick access, but they don't have to.
We already use ChurchSuite or Planning Center. Can we use both?
Yes. TeamRota only does rotas and check-in, so it works alongside your church management system. Import from a spreadsheet or CSV now; direct sync is planned for the Large plan.
What happens if we run out of texts?
Texts pause automatically, so you're never charged for more. Volunteers still get every change by email and app alert. Top up whenever you like.
Who can see volunteers' phone numbers?
Only church admins and the heads of the department a volunteer serves in. Volunteers can see who's in their unit, but not their phone numbers. We never sell your data.
Does check-in work if the venue Wi‑Fi is poor?
Yes. A check-in is saved on the phone and syncs as soon as signal comes back.
